Employment administration

​

We’ll maintain accurate and up to date staff records within a HR database - we often use Breathe HR, but are happy to work with an existing system you have in place, or to implement whichever system is right for you.

We’ll deal with all contractual administration for you - offers of employment, changes to terms and conditions, leavers, etc.

We’ll complete onboarding tasks for new hires and we’ll liaise with your payroll provider regarding starters, changes, leavers, absences and overtime, plus any other information they need to pay people correctly.

We’ll manage holiday allowances and bookings - no matter how complicated your working patterns are.

We’ll monitor rates of unplanned absence and highlight when you may want to take action.

We’ll advise you on all forms of statutory family-related leave and complete all the administration for you. 

We’ll produce letters for you to use within formal procedures such as flexible working requests, absence management, ill-health management, performance management, disciplinary, employee grievance, redundancy, etc.

HR advice and support

Our HR Helpline service can be provided as part of the Employment Essentials package, or as a stand-alone service (if you don’t need support with employment administration). Feel free to contact us if you’d like to discuss this option.

You can call or email the team at any time about any employment-related queries or issues. One of us will support you to make well-informed decisions and then support you to follow through on what needs to be done. Topics you may want to contact us about include:

  • Recruitment and selection - job descriptions, adverts, etc.

  • Changing contractual terms and conditions

  • Dealing with resignations and dismissals

  • Right to work checks and background screening 

  • Setting pay rates for staff and national living wage compliance

  • Workplace pension automatic enrolment

  • Arrangements for bonus, commission and incentives

  • Employee benefits and perks

  • Holiday allowances and rights, including calculating holiday pay

  • Family-related leave and other rights (maternity, paternity, etc.)

  • Flexible working arrangements (working hours, working from home, etc.)

  • Working time regulations compliance (rest breaks, maximum working hours, etc.)

  • Employee concerns and complaints (grievance)

  • Employee absence / ill-health concerns

  • Misconduct issues (disciplinary)

  • Performance and capability issues

  • Restructuring and redundancies

  • Equality, diversity, inclusion and preventing discrimination

  • Bullying and harassment issues

We encourage you to speak with us at an early stage, rather than waiting for something to become a problem. We’re happy to chat through situations with you, understand your concerns and desired outcomes, and explore options that may be available to you. We can then advise you on the best course of action to achieve the outcome you’re looking for.

What’s not included?

Our Employment Essentials package is designed to provide you with peace of mind regarding day to day employment matters. In order for our business to be sustainable, providing a good service to all our clients, we need to charge separately for certain services we may provide to you. Within the retainer, we’ll happily advise you on what to do, but if you’d like us to do more, a separate fee will apply.

This includes active involvement (beyond telephone/email advice) in:

  • Recruitment and selection campaigns

  • Formal consultation processes with employees

  • Investigations for formal disciplinary or grievance matters

  • Attendance at formal meetings with employees (e.g. disciplinary hearings)

  • Overall case management for formal employment procedures

PAYG arrangements​

If you’re unsure about paying on a monthly basis, and would rather pay directly for the support you actually use, then we can work with you on a PAYG basis instead. Just contact us for details.
